The problem

Venue contracts come with minimums. Sign before you know your numbers and the venue decides your budget for you. You find out at the final count, when the only choice left is to pay.

When to run it

Before you sign any venue or catering contract. Give yourself at least a week between this budget and your signature.

The steps

  1. List fixed and per-person costs

    Fixed costs stay the same whether 20 people come or 200. Room rental, AV, speaker fees, insurance, signage. Per-person costs grow with every registration: meals, drinks, name badges, materials. Sort every line into one column or the other. This is the whole play.
